Extended Attributes: Concepts

Each Aprimo object has a set of standard attributes you can use to store basic information. Depending on the object, the standard attributes might include the object's name or title, contact information, and status information. For some objects, you can create extended attributes, which capture additional information specific to your organization's needs. You create extended attributes in the Extended Attributes module.

Design Considerations

Extended attributes have the same characteristics as standard attributes:

  • You can configure extended attributes to appear on the view page, the new page, and the edit page of an object.
  • You can create relationships between extended attributes.
  • You can configure list pages to display extended attributes.
  • You can create filters that use extended attributes.
  • You can export the information stored in extended attributes.
  • On most pages, extended attributes are supported by type ahead search which does not support all special characters. Please limit the use of special characters when creating extended attribute values.

For most objects, you can modify the layout of extended attributes, so that you can arrange them in a manner that is meaningful to your organization. If an object contains many extended attributes, customizing the layout can also make the object easier to navigate and edit.

Examples of Extended Attributes

This table describes how some Aprimo objects use extended attributes.

Object Example

Inbound Forms

You can map an inbound form field to an extended attribute, so that the extended attribute is updated with the information submitted through the inbound form.

You can also configure an inbound form to display information stored in an extended attribute.

Interactions

In an interaction, paths route subjects through the steps. Paths can use criteria to determine which subjects to process. You can use extended attributes to define a path's criteria.

A process step in an interaction can modify an extended attribute's contents. A process step can also output information stored in extended attributes to a text file.

Microsites

You can configure the pages in a microsite to display information stored in an extended attribute. A microsite can also use extended attributes as criteria to determine the content that appears to visitors who view the microsite.

Outbound Messages

You can configure an outbound message to display information stored in an extended attribute. An outbound message can also use extended attributes as criteria to determine the content that appears to message recipients.

Profiles

Profiles enable you to add a group of similar audience members to an activity or lead process. The profile's definition includes the criteria that an audience member needs to match to be captured by the profile. You can use extended attributes to define the profile's criteria.

Project Management

In the Project Management modules, extended attributes can collect information about the work performed for a task. You configure extended attributes for use in a data collection template.

Territories

You use territories in lead processes. The territory's definition includes the criteria that determine the leads assigned to the territory. You can use extended attributes to define the territory's criteria.

Territory Categories

You use territory categories in lead processes. The territory category's definition includes the criteria that determine the leads that qualify for the territories in the territory category. You can use extended attributes to define the territory category's criteria.

Layout Options

For most objects, you can modify the layout of extended attributes in these ways:

You customize the layout of extended attributes on the View Page Layout page.

Tip:
The View Page Layout page also displays a preview of the current object's layout. You can use this page to assess the object's layout.

The application handles the layout of these extended attributes differently:

  • Accounting integration
  • Activity calendar dates
  • Expense items
  • Tasks

For accounting integration, activity calendar dates, and expense items, you can control only the order in which the extended attributes appear. See Edit Display Index Key Fields.

For tasks, a primary use of extended attributes is to collect information about work that is performed. To use extended attributes to collect task information, you need to configure them for use in a data collection template.

Default Location of Extended Attributes

When you design an object's page layout, you need to configure a section to be the default section. The default section serves as a placeholder for new extended attributes that are not type-specific. When you create an extended attribute that is not type-specific, the application automatically places the attribute into the default section.

The application handles new extended attributes that are type-specific differently in these ways:

  • If a section exists for the selected type, the attribute is placed in that section.
  • Placement is driven by the section sequence, prioritizing sections that have a status of active and are on an active tabs over those that are inactive or on inactive tabs.

  • If more than one section exists for the selected type, the extended attribute is placed in the first section for the type. You configure the section sequence on the Set Layout Sequence page.
  • If no sections exist for the selected type, a new section is created. The new section's title is the same as the type's name. The section is located on the object's Details tab.
  • When you create an activity extended attribute that will appear in multiple sections or tabs, the application places the attribute in the default location. You can place the attribute in the appropriate sections or tabs, and remove it from the default location.
Note:
You can associate an extended attribute with multiple types, but you can associate a section with only a single type. When you create an extended attribute that is associated with multiple types, it is placed in all applicable sections. To the user, the extended attribute appears only once, because you can select only one type for an object.

The default layout might be suitable for objects that have only a few extended attributes. If an object has many extended attributes, you might want to modify their layout.

Note:
For an extended attribute to be available in object records, it must appear in a section.

Extended Attribute Sections

You can create custom sections for an object, and place extended attributes in those sections. You use sections to group extended attributes that capture similar information.

A section appears on a tab. Each custom section is offset from the other sections that appear on the tab.

Note:
You can place extended attributes for activities in multiple sections.
Example:
To record additional information about your suppliers, you create extended attributes and place them on a custom section named Shipping Information.

Extended Attribute Tabs

You can create custom tabs for an object, and place extended attribute sections onto those tabs.

Note:
You can place extended attributes for activities on multiple tabs.
Example:

To record additional information about your suppliers, you create extended attributes and place them in two sections:

  • Payment Information
  • Shipping Information

You then create a custom tab, named Ordering Information, for the sections.

Extended Attribute Sections and Tabs in Activities

You can place an activity extended attribute in multiple sections or on multiple tabs. This is useful if your business processes dictate that different groups enter activity data on separate sections or tabs, and you have one or more extended attributes that you want to use on each section or tab.

Example:
Your marketing department is divided into three groups who work with activities. Each group needs to track different information, so you configure three tabs with extended attributes to record the information, one for each group. However, each client is assigned a code, regardless of which group is responsible for entering client information, so you create an extended attribute named Client Code that you place all three group tabs.

When users assigned to a particular group edit an activity, they edit the extended attributes on the tab assigned to the group. Regardless of which group users belongs to, they type a client's code in the Client Code field.

Note:
Regardless of how many times an activity extended attribute is used in the layout, it is still the same attribute that can store a single value. Therefore, when an extended attribute is configured to appear in multiple sections on a tab, a user will see all instances on the tab. When a user enters or selects a value for one instance of an attribute, the application populates the other instances with that value.

On the View Page Layout page, an information icon () identifies each activity extended attribute that appears in multiple sections or tabs. Point to the icon to display a ScreenTip that lists the sections and tabs that currently contain the attribute.

Key Fields

These fields appear for all extended attributes, unless stated otherwise.

Field Description

Title

Type a name for the attribute.

If your organization has purchased and installed multiple languages, you can use the Translate Encoded Titles modules to translate the title into other languages.

Status

Select whether the extended attribute is available for use.

Consider changing the extended attribute's status to Inactive if your organization no longer needs to use it but wants to retain the information stored in it.

If you change the status to Inactive, the application automatically removes the attribute from sections that contain it.

Note:
To preserve referential integrity, the application warns or prevents you when you try to inactivate or delete extended attributes that are used in active objects, such as workflow templates or calendars.

Required

Select whether users must enter a value in the extended attribute in order to save the object.

Read Only

This field appears if you set the Required field to No.

Select whether users can edit the extended attribute's contents.

Modules that import information into the application, such as the Datasource Management modules, the Load List Wizard, and the Integration Workbench, can import information into read-only attributes.

Layout

This field appears only on the View Extended Attributes list page.

Select whether the attribute is included in the object's layout.

Data Type

Select the kind of information to store in the attribute.

Display

You can use system types to categorize several objects' extended attributes.

For these objects, you have two options for displaying the extended attribute:

  • Always Display Field
    Use this when you want the attribute to always be available for all system types.
  • Limit By Display Type
    Use this when you want to limit the appearance of the attribute by system type.

If you select Limit Display By Type, you must configure the Type field.

Type

This field appears if you select Limit Display By Type in the Display field.

Select the types for which the attribute appears.

If you create a type-specific extended attribute, you must place it in a corresponding type-specific section.

For information about where type-specific extended attributes are placed by default, see Default Location of Extended Attributes.

Identifying Attribute

This field appears for certain objects.

Select whether the attribute contains information that identifies the object.

You can use identifying extended attributes in the data import process to match incoming records with records that already exist in the application.

Caution:
Be certain that the information that will be stored in this attribute can be used to establish identity. If the information stored in the attribute is not unique for each record, the data stored in the application could be negatively affected.

Help Text

Type Help text for field-specific Help in objects where the extended attribute field appears.

A Help icon appears next to the field when users edit these objects. Users can point to the icon to view your Help text specific to your organization's use of the field.

Note:
Help text is only available when a user is editing a page with extended attributes.

Click the Advanced Edit button to create formatted Help text in a WYSIWYG editor that has controls similar to those in a word processor. In the editor, to view the HTML or to type or paste HTML, click the Source code button.

You can also access the editor from the extended attribute's object by clicking the extended attribute's Help icon and then clicking Edit.

Domains

Select the domains for which the attribute is available.

If the extended attribute is type-specific, it is possible that one or more of the selected types do not exist in other domains. In this case, the extended attribute is available in the other domains, but is not limited by type.

Scrub this Attribute during DataSource Refresh The field can be set to Yes/No. Select whether this Extended Attribute should be scrubbed when a data source is refreshed from Production down into the lower environments i.e. Sandbox.
Scrubbed Replacement Value This field will only appear if you set “Scrub this Attribute during DataSource Refresh" To Yes. It will allow you to insert a value of the appropriate type to replace all instances of the extended attribute when a data source is refreshed from Production down into the lower environments.

Key Fields that Appear Based on Data Type

These fields appear for an extended attribute if you select Long Integer, Numeric, or Percentage in the Data Type field.

Field Description

Sign

Select whether the values entered in this extended attribute can have a positive value, a negative value, or both.

Digits Left of Decimal

Select the maximum number of digits to the left of the decimal point that users can enter in the extended attribute.

You can specify up to 10 digits to the left of the decimal point.

The application reserves database space for the maximum number of digits. To conserve database resources, specify the exact number of digits you need.

Digits Right of Decimal

This field appears if you select Numeric or Percentage in the Data Type field.

Select the maximum number of digits to the right of the decimal point that you can enter in the extended attribute.

You can specify up to 6 digits to the right of the decimal point.

The application reserves database space for the maximum number of digits. To conserve database resources, specify the exact number of digits you need.

Valid Range

Select the beginning number and ending number for the range of numbers that users can enter for the extended attribute. If the data type is Long Integer, enter only whole numbers.

These fields appear for the extended attribute if you select Long Text or Text in the Data Type field.

Field Description

Row Height

This field appears if you select Long Text in the Data Type field.

Select the attribute's vertical height. The Row Height is the number of lines of text that the attribute extends when it appears in an object.

Field Length

This field appears if you select Text in the Data Type field.

Select the maximum number of characters users can enter in the extended attribute.

The maximum length is 255.

The application reserves database space for the maximum number of characters. To conserve database space, enter a field length no longer than the longest value users will enter.

After you save a text extended attribute, you cannot modify the field length.

These fields appear for the extended attribute if you select Multiple Selection or Picklist-Encoded in the Data Type field.

Field Description

Use Shared Options Set

Set this field to Yes to use a shared options set to populate your extended attribute's selection options.

Shared Options Set

Select a shared options set that includes the options you want to use in your extended attribute. Click the View button to see the list of options in a selected set.

Parent

This field appears if the object is not an object that is rendered in dynamic rows and if the data type is Picklist-Encoded or Multiple Selection.

Select the system type or the extended attribute that determines the values available for this extended attribute.

The value in this field is a hyperlink that goes to the Edit Relationship page. The value in this field appears as the parent on the Edit Relationship page, and this extended attribute appears as a child on the Edit Relationship page.

Children

This field appears if the object is not an object that is rendered in dynamic rows and if the data type is Picklist-Encoded.

Select the extended attributes whose available values depend on this extended attribute's value.

This field appears for the extended attribute if you select URL in the Data Type field.

Field Description

URL Display Text

Type text to display in place of the actual URL. This text will be a hyperlink that opens the URL.

Selection Options

The Selection Options section appears on an extended attribute's Details tab if you select Multiple Selection or Picklist-Encoded in the Data Type field.

Users select values from a list for these extended attributes. You use the fields in the Selection Options section to manage the list of available values. Click the Add button to create one option. Click the Add Multiple button to create more than one option. When you add multiple options, type a semicolon between each option.

Example:
You create a picklist that contains your available payment methods. The picklist has three options. You click the Add Multiple button and type this information:

Check;Credit;Money Order

You use the up and down arrows to move the selection options up or down in the list. Click the Remove button to remove a selection option from the list. You can alphabetize the options by clicking the Alphabetize Options button.

Users who have configurable workflow enabled will see a System Name column if they have ‘Show Extended Attribute System Name’ system parameter set to Yes. Configurable workflow customers will use the System Name column for metadata mapping.

The value that should be entered in the System Name field would correspond to a classification list field or an option list field option.

If mapping the extended attribute to a Classification List field, the ‘System Name’ in the extended attribute will need to be populated with the partial name path of the classification list field. The System Name must be an exact match to the partial name path of the classification list field. You do not include the root of the classification list field in the System Name.

If mapping the extended attribute to an Option List field, the ‘System Name’ in the extended attribute will need to be populated with the corresponding Option in Aprimo DAM. The System Name must be an exact match to the options defined in the Option list field in Aprimo DAM.

Example:

A user wants a task assignee to select a region on the task that will populate that same region automatically on a classification list field in Aprimo DAM.

The user might populate the System Name with: France/Paris to correspond with an extended attribute selection that was Paris. You do not need to include the root option.

Note:

The extended attribute page will be able to be saved if the name path or option list is not correct, but the workflow template will not allow the user to validate if the ‘System Name’ has an incorrect value.

Security

The Security section appears on the Details tab for an extended attribute that requires additional security, such as financial information or sensitive audience member information.

Field Description

Secure Attribute

Select whether the attribute contains confidential information that should be available to only a select group of users.

If you set this field to Yes, you need to configure the attribute's access rights in the View Access Groups and Edit Access Groups fields.

For example, if you want to track each audience member's salary, but you do not want all users to see this information, select Yes in the Secure Attribute field when you create the extended attribute.

View Access Groups and Edit Access Groups

These fields appear if you select Yes in the Secure Attribute field.

Select the groups of users that can view or edit the attribute.

Data Types

When you configure an extended attribute, select the kind of information you can store in the attribute. These are the available data types.

Option Description

Date and Time

This is a combination of two fields: one for date, and one for time.

When users access this field, a View Calendar button appears beside the date field, and an Insert Current Time button appears beside the time field. Users can click these buttons to populate the fields. Or, users can type the date and time, using the date format and the time format as specified in the user record.

Date Only

This is a single-line attribute that can contain a date.

When users access this field, a View Calendar button appears beside the field. Users can click the View Calendar button to select a date. Or, users can type the date, using the date format specified in the user record.

Email

This is a single-line attribute that contains an email address.

Information added to this attribute needs to be in a proper email address format (example: user@domain.com).

Long Integer

This is a single-line numeric attribute. This attribute can accept only whole numbers.

A long integer attribute can contain up to 10 digits to the left of the decimal, with a maximum positive value of 2147483647 or a maximum negative value of -2147483648. A long integer attribute can contain only 0 digits to the right of the decimal. You configure the attribute to store positive or negative values.

Long Text

This is a multiple-line text box that can contain more than 255 characters.

Due to security reasons, an error will result if someone tries to enter a URL link or a script as a value.

The default row span for a long text attribute is two. You might need to increase this value to ensure that users can see the attribute's contents without scrolling.

Multiple Selection

This is a list from which a user can select more than one item. This type of attribute always contains two lists: an Available list and a Selected list. Users populate the attribute by moving selection options from the Available list to the Selected list.

You cannot use a multiple selection extended attribute as an identifying attribute. In addition, you cannot create a multiple selection extended attribute for an expense item or an accounting integration item.

With the Multiple Selection data type, you can set each selection option's status. This enables you to control the selection options that are available to users.

You can translate a multiple selection attribute's selection options.

A multiple selection attribute's default row span is 2. You might need to increase this value to ensure that users can see the attribute's contents without scrolling.

Numeric

This is a single-line numeric attribute that can accept whole numbers or numbers with decimal values.

A numeric attribute can contain up to 15 digits, including decimals. You can configure the attribute to store positive or negative values.

Percentage

This is a single-line numeric attribute followed by a percentage sign (%). The attribute can accept whole numbers.

Picklist-Encoded

This is a list from which a user can select one item.

With the Picklist-Encoded data type, you can set each selection option's status. This enables you to control the selection options available to users.

You can translate an encoded picklist's selection options.

Note:
If the Prompt for Automated Inbound Form and Microsite Updates system parameter is set to Enabled, the application can automatically update inbound forms and republish microsites when you edit a Picklist-Encoded extended attribute that is used in an inbound form. After you click the Save button, click Yes to the prompt.

Text

This is a single-line text box that can contain up to 255 characters.

Time Only

This is a single-line attribute that contains a time.

When users access this field, the Insert Current Time button appears beside this attribute. Users click the Insert Current Time button to add the current time to the attribute. Or, users can type the time, using the time format specified in the user record.

URL

This is a single-line text box that contains a URL.

When you select this data type, the URL Display Text field appears.

Extended Attribute Usage

To view a list of objects in which an extended attribute is referenced, click the View Usage Details button. Before you edit an extended attribute, viewing the extended attribute usage details can help you determine which objects your edits would affect.

Column Description

Reference Location

This column shows the type of object in which the extended attribute is referenced.

Usage Count

This column shows how many times the extended attribute is referenced in that type of object.

Referencing Object

This column lists specific names of the objects in which the extended attribute is referenced.

Note:
To preserve referential integrity, the application warns or prevents you when you try to inactivate or delete extended attributes that are used in active objects, such as workflow templates or calendars.

Identifying Extended Attributes

For some objects, an extended attribute can be configured to be an identifying extended attribute. An identifying extended attribute contains information that can concretely establish the identity of an audience member, a product, a company, or financial information. Information that is well-suited to use as an identifying attribute meets all of these conditions:

  • The information is unique for each audience member, company, participant, product, or supplier.
  • Once established, the information does not change.
  • The information cannot be reassigned.

You can create identifying attributes for these types of objects:

  • Audience members
  • Companies
  • Participants
  • Products
  • Suppliers
Example:
Information that would make a good identifying extended attribute is the United States Social Security number. Every United States citizen has a unique Social Security number. Once assigned, this number typically does not change for an individual. This number is never reassigned.

Information that would make a bad identifying extended attribute is a phone number. Individuals commonly have the same phone number, and phone numbers can be reassigned.

The data import process uses identifying extended attributes to match incoming records to existing records. The data import process uses identifying extended attributes in these ways:

  • Identifying extended attributes match incoming records to records that already exist in the application.
    This prevents the creation of duplicate records during the import process. When the data import process determines that an incoming record matches an existing record, it merges the two records.
  • Identifying extended attributes link incoming child records with the correct parent record.
    For example, if you import contact history records, an identifying extended attribute can link the incoming records to the correct audience member.
Caution:
Storing information that is not unique for each record in an identifying extended attribute might cause these events to occur in these instances:
  • Records that do not actually match could be merged during the data import process.
  • Information, such as contact history, could be linked to the incorrect record during the data import process.

Either one of these events would negatively affect the data stored in the application.

Secure Extended Attributes

You can create secure extended attributes for certain objects. A secure extended attribute contains confidential information available to only a select group of users.

As shown in these tables, a user's ability to view or edit a secure extended attribute depends on these items:

  • The user's access rights to the secure extended attribute.
  • The module that the secure extended attribute is being used in.

For Audience Members

These modules can access secure extended attributes for audience members. The rights assigned to users determine whether they edit or use a secure extended attribute.

Use the secure extended attribute within an expression.

After the expression is created in the object, users who do not have view access or edit access to the secure attribute can still use the object.

Example:
A user with view access to a secure extended attribute uses the Profiles module to create a profile based on the value of the Salary secure extended attribute. Other users who do not have view access or edit access to the Salary secure extended attribute can still use the set to populate an interaction.

Configure a process step to set the secure extended attribute's value.

Include the secure extended attribute as an entry field in the form.

Microsites

Configure the microsite page to display the secure extended attribute.

Note:
We do not recommend that you display secure extended attributes on a microsite page, because secure extended attributes typically contain confidential information.

Configure the message to display the secure extended attribute.

As you build an access list, consider these points:

  • Any user group that has edit access automatically has view access.
  • If a user is in multiple user groups, and each user group is assigned a different level of access to a secure extended attribute, the user has the combined privileges of both groups.
    Example:
    Mary is in user group A and user group B. Group A is assigned view access to the Salary extended attribute. Group B is assigned edit access to the Salary extended attribute. As a result Mary has edit access, which allows her to both view and edit the Salary extended attribute.
  • If your marketing organization uses the Leads Portal, the portal administrator needs to be in a user group that has edit access or view access to the secure extended attributes used with lead processes. This ensures that the portal administrator can correctly configure those attributes for use in the Leads Portal.

Key Fields for Edit Relationship

You can access these fields by clicking the hyperlink in the Parent field or the Children field on the View Extended Attribute page.

Field Description

Parent

Select the system type or extended attribute that determines the child's available values.

Child

Select the extended attribute whose values depend on the parent.

The values available for selection for the child depend on the value selected for the system type that is the parent or on the value selected for the extended attribute that is the parent.

Value Rules

The Value Rules section appears on the Edit Relationship page.

Field Description

Parent

Select the values available for the system type that is the parent or the values available for the extended attribute that is the parent.

By default, if you select Not Selected in the Parent list, all values for the child appear in the Child - Allowed list. But you can still move values from the Child - Allowed list to the Child - Disallowed list.

Child - Allowed

Select the values available for the child for the value selected in the Parent list.

To move values between the Child - Disallowed list and the Child - Allowed list, use the buttons between the two lists.

It is okay for the Child - Allowed list to be empty.

By default, if you select Not Selected in the Parent list, all values for the child appear in the Child - Allowed list. But you can still move values from the Child - Allowed list to the Child - Disallowed list.

Child - Disallowed

Select the values not available for the child for the value selected in the Parent list.

To move values between the Child - Disallowed list and the Child - Allowed list, use the buttons between the two lists.

By default, if you select Not Selected in the Parent list, all values for the child appear in the Child - Allowed list. But you can still move values from the Child - Allowed list to the Child - Disallowed list.

Key Fields for Shared Options Sets

The Shared Options Sets page displays a list of shared options sets, which are available to use when you create a Multiple Selection or Picklist-Encoded extended attribute. To access the Shared Options Sets page, click the Shared Options Sets button on the View Extended Attribute page.

Field Description

Allow Imports to Add Options

Choose whether data imports can update the options listed in this shared options set.

Fields in a data import can be mapped to existing Multiple Selection or Picklist-Encoded extended attribute fields. In such a mapping, the imported fields can update the existing extended attribute's selection options. When the attribute uses a shared options set, you can choose to not allow data imports to update the options in the shared options set.

Example:
You have an extended attribute named City. It uses a shared options set named City Shared Options Set, which includes these options:
  • Springfield
  • Chesterfield
  • Winfield

A data import includes a field, mapped to the City extended attribute, that includes these options:

  • Springfield
  • Chesterfield
  • Winfield
  • Fairfield

If the Allow Imports to Add Options field is set to No, the data import does not update City Shared Options Set to include the Fairfield option. Therefore, any imported records with a field set to Fairfield will have no value in that field.

Notes:
  • You can delete an options set only if it, including any of its child sets, is not associated with any extended attributes. You can give a set the Inactive status only when all extended attributes associated with it also have Inactive status.
  • When you add or edit a shared options set, the application republishes any inbound forms that use an extended attribute referenced in the shared options set.

Key Fields for Page Layout

The View Page Layout page displays a preview of the selected object's current layout. You also customize the layout of the extended attributes from this page. To access the View Page Layout page, click the Page Layout button on the View Extended Attribute page. For more information, see these sections:

New Extended Attribute Section or the Edit Extended Attribute Section

You can use the New Extended Attribute Section page or the Edit Extended Attribute Section page to perform these actions:

  • Set the condition under which the section appears.
  • Select the extended attributes you want to include in the section.
  • Arrange the layout of the attributes in the section.

To access the New Extended Attribute Section page or the Edit Extended Attribute Section page:

  1. From the Extended Attribute List page, point to the object's action icon, and click View Extended Attributes.
  2. Click Page Layout.
  3. Click Add Section or Edit for an existing section.
Field Description

Show Header

Select whether the header appears whenever the section appears.

Status

Select whether the section appears in the object records.

Set the section's status to Inactive when you do not want the section and the attributes to be available to users, but you want to retain the layout information.

Tip:
An inactive section appears on the View Page Layout page in the Extended Attributes module for editing and reference purposes.

Default Section

This field appears if you select Not Selected in the Parent Type field.

Select whether you want the section to be the default section for new extended attributes.

New extended attributes that are not type-specific are automatically placed in the default section.

Each domain must contain one default extended attribute section.

Parent Type

Select the condition when the extended attribute section appears.

  • Not Selected
    The section appears for all system types for the object.
  • System Type
    The section appears for only a selected system type for the object.
  • Extended Attribute
    The section appears only when users select a particular value in an extended attribute in another section.
    Note:
    The extended attribute that determines whether the section appears must be of the type Picklist-Encoded.

Parent

This field appears only when the parent type is System Type or Extended Attribute.

Select the system type or extended attribute that causes the extended attribute section to appear.

Parent Values

This field appears only when the parent type is Extended Attribute.

Select the extended attribute values that cause the section to appear.

Extended Attributes

The Extended Attributes section appears on the New Extended Attribute Section page and the Edit Extended Attribute Section page. This section enables you to determine the placement of the extended attributes on the section and the tab. You use these fields to add extended attributes to the section and the tab.

The section can display the extended attributes in two columns. When you select an extended attribute, be sure to add it to the appropriate column.

Field Description

Available

Lists the extended attributes you can place on the section. The object with which the extended attributes are associated determines which attributes you can select:

  • For all objects except activities, lists the active extended attributes that are not used in another section.
  • For activities, lists all active extended attributes, including those used in other sections. Attributes used in other sections appear under the ----In Use---- header.

If the list does not contain an attribute you want to add to a section, use these methods to find or create it:

  • Click the filter icon () to filter the list.
  • Create the extended attribute.
  • For an object other than an activity, if the extended attribute exists, but does not appear in the Available list, relocate the extended attribute to the section you are editing.
  • If you configure the extended attribute section for a particular system type, the Available list shows only the extended attributes associated with that system type. You can associate a section with only a single type, but you can associate an extended attribute with multiple types. If you associate an extended attribute with multiple types, it appears in all applicable sections. You can edit this layout, if needed.
Note:
For all objects except activities, the extended attribute appears only once to users, because you can select only one type for an object.

Left Column

Select the active extended attributes you placed in the left column of the section.

You can add and remove extended attributes from the left column section by clicking the extended attribute and clicking the arrow buttons.

Right Column

Select the active extended attributes you placed in the right column of the section.

You can add and remove extended attributes from the right column section by clicking the extended attribute and clicking the arrow buttons.

Manage Tabs

You use the Manage Tabs page to create, edit, and delete tabs.

To access the Manage Tabs page:

  1. From the Extended Attribute List page, point to the object's action icon, and click View Extended Attributes.
  2. Click Page Layout.
  3. Click Manage Tabs.

A tab is a separate page that appears behind the Details tab in the module for the object. You can add extended attribute sections to a tab by setting the layout sequence.

When you create a tab, you must enter the tab's name and select a status.

Tab Status Description

Active

A tab that has Active status appears in the corresponding object records. When a tab is active, it also appears on the View Page Layout page, where you can edit its sections.

Note:
When users create, edit, or view an object record, an active tab does not appear if the tab has no sections to display. This might occur under these conditions:
  • You create a tab but do not add any sections to it.
  • All sections on the tab are type-specific. The setting of the object's Type attribute does not correspond to any of the sections on the tab.

Inactive

A tab that has Inactive status does not appear anywhere in the application, including the View Page Layout page and the object records. Set a tab's status to Inactive when you do not want the sections and the attributes to appear in the object, but you want to retain the layout information.

Set Layout Sequence

You use the Set Layout Sequence page to configure the order in which tabs and sections that contain extended attributes appear.

To access the Set Layout Sequence page:

  1. From the Extended Attribute List page, point to the object's action icon, and click View Extended Attributes.
  2. Click Page Layout.
  3. Click Set Layout Sequence.

The sequence list includes all active extended attribute tabs and sections.

Note:
Tab names are offset by dashes, as in this example:

Tabs display from left to right, in the order specified on this page.

Note:
You cannot change the Details tab's location. This tab is automatically placed in the first position in the sequence list.

Set the sequence list order to determine these characteristics of the layout:

  • The tab on which the section is located
    A section always appears on the tab that precedes it in the sequence list.
  • The order of the sections
    Sections display from top to bottom, in the order specified on this page.

Key Fields for Edit Display Index

For most objects, you can create sections and tabs to organize the layout of extended attributes. Extended attributes for accounting integration, activity calendar dates, and expense items are handled differently. For these objects, you can control only the order in which the extended attributes appear.

After you add an extended attribute for accounting integration, activity calendar dates, or expense items, you can specify where it appears in the list of all extended attributes for the object.

To access the Edit Display Index page:

  1. From the Extended Attribute List page, point to the object's action icon, and click View Extended Attributes.
  2. Click Edit Display Index.
Example:
You create extended attributes for expense items in this order:
  • Department Number
  • Contact Name
  • Verified with Purchaser

The Verified with Purchaser attribute is very important to your organization. You use the Edit Display Index page to move this attribute to the top of the list:

  • Verified with Purchaser
  • Department Number
  • Contact Name
