Outbound Messages: Concepts

You use the Outbound Messages module to create and edit messages to send to recipients from interactions or segmentations.

This feature is available in Aprimo Marketing Studio 9.1 only.

From Interactions

The communicate step in an interaction sends an outbound message. Outbound messages sent from interactions can be:

In an interaction in an activity, the recipients can be audience members or participants. In a lead process interaction, they can be audience members, participants, or leads.

From Segmentations

The send email tool in a segmentation sends an outbound message. Outbound messages sent from segmentations can be HTML email or plain text email. The recipients can be people whose information is in an external database. If the recipients' information is in the System Database , the send email tool can send an email message to audience members, participants, or leads. A recipient whose information is in an external database might also be an audience member. An external recipient who is not an audience member becomes an audience member when the recipient submits an inbound form from the outbound message.

Design Considerations

Consider these points when you design an outbound message:

Details

Field Description
Target Group

Specify the recipient type:

  • If an interaction's communicate step will send the message, select Audience Members, Leads, or Participants.
  • If a segmentation's send email tool will send the message, select Universe Context.

After you save an outbound message, you cannot modify this field.

This field determines:

  • The interactions that can send the outbound message. An interaction must have the same target group as the outbound message.
  • Whether a segmentation can send the outbound message. A segmentation can send it if the segmentation's and the outbound message's target group is Universe Context.
  • The field tags you can insert.
  • The inbound forms you can associate with the message. You can associate those that have the same target group as the message.
  • The microsites you can associate with the message.
  • Whether you can include Web analytics in the message's links. You can include Web analytics if the message targets audience members or leads.
Universe

This field appears if the Target Group is Universe Context.

Select the universe for which the outbound message is available. After you save the message, you cannot modify this field. The available universes are the universes to which you have access that have at least one email-enabled context.

Context

This field appears if the Target Group is Universe Context.

Select the email-enabled context to which the outbound message is sent. After you save the message, you cannot modify this field. The available contexts are the email-enabled contexts for the universe.

Inbound Forms

Select the inbound forms to associate with the message. The available forms are those in the current activity or lead process that have the same target group as the message. Inbound forms configured for a microsite are not available.

If the message's target group is Universe Context, the context determines the available inbound forms. If the context is based on:

  • an external database, only inbound forms that target audience members appear.
  • audience members, only inbound forms that target audience members appear.
  • participants, only inbound forms that target participants appear.
  • leads, only inbound forms that target audience members or leads appear.

If you associate an inbound form with the outbound message, the message can contain a link to the inbound form.

Microsite

This field does not appear if the message targets an Aprimo universe and the context is participants.

Specify the microsites to associate with the outbound message. The available microsites are those in the current activity or lead process that have the same target group as the outbound message.

If the outbound message's target group is Universe Context, the context determines the available microsites:

  • If the context is based on an external database, only microsites that target audience members appear.
  • If the context is based on audience members, only microsites that target audience members appear.
  • If the context is based on leads, only microsites that target audience members or leads appear.

If you associate a microsite with the outbound message, the message can include a link to the microsite.

Status

Choose the message's availability.

If you no longer need an outbound message, change its status to Inactive, after the interaction or segmentation finishes processing.

Language

Select the language of the default opt-out page and the default forward to a friend page.

You can select any language installed for your implementation of Aprimo.

Email Details

This section appears if the Target Group is Universe Context.

Field Description

Lock Email Details in Segmentations

Choose whether you can change the default values of the Email Content Options fields in the send email tool that sends this message.

By default, the send email tool shows the values of the outbound message's Email Details.

From Display Name

Indicate the name of the person displayed as the sender. Type a name or click the Insert button to select an attribute.

From Email Address

Indicate the email address from which the message is sent.

Type the portion of the email address that is before the @ symbol, and select the domain. The list includes the purchased domains listed in the Configuration module for email deliverability.

Reply Email Address

Indicate the email address to which recipients reply.

You can type an email address or click the Insert button to select an attribute.

To Email Address Attribute

Select the attribute for the recipient's email address.

To Display Name Attributes

Select the attributes to combine for the recipient's displayed name.

Use the Move Up and Move Down buttons to change the order.

Email Format

Select the format of the email message. It can be HTML email, plain text, or both.

HTML email allows you to use sophisticated formatting and graphics, but not all subjects can receive HTML email. To ensure everyone receives the message, follow these steps:

  • Configure an HTML message and a plain text message.
  • Select Both in the Email Format field. Due to MIME technology, the message appears in the appropriate format for the recipient.
Include Opt-Out Link

Choose whether a link to an opt-out form appears in the email message footer. An opt-out form gives the recipients the option to stop receiving types of email messages from your organization.

You can create a custom message for the opt-out link on the Header/Footer tab.

Note:
If you choose to include the link in the body of the email message using Embeddable Tags, choosing Yes in this field puts a duplicate link in the message footer.

CAN-SPAM is an act of the United States Congress that became law in December of 2003. In 2008 the Federal Trade Commission (FTC) approved revisions to the act. One requirement of the CAN-SPAM Act of 2003 and its 2008 revisions is that your outbound email messages include an opt-out link. If messages do not comply with the rules, your organization may be fined or charged with a criminal and civil offense.

Include Physical Mailing Address

This field does not appear if the message targets an Aprimo universe and the context is participants.

Choose whether your physical mailing address is appended to the email message.

If the Physical Mailing Address field on the Header/Footer tab for the outbound message contains an address, that address is used. If that field is empty, the address of the AIM Service Physical Mailing Address system parameter is used.

By default, the physical mailing address's format is the same as the opt-out link and the forward to a friend link. However, any formatting of the address on the Header/Footer tab of the outbound message or in the value of the system parameter overrides the default.

Include Forward to a Friend Link

This field does not appear if the message targets an Aprimo universe and the context is participants.

Choose whether a link to a forward-to-a-friend Web page appears in the email message footer. A forward-to-a-friend Web page enables the recipients of a message to forward it to others.

You can create a custom message for the forward to a friend link on the outbound message's Header/Footer tab.

If you choose to include the link in the body of the email message using Embeddable Tags, choosing Yes in this field puts a duplicate link in the message footer.

Include View as Web Page Link

This field does not appear if the message targets an Aprimo universe and the context is participants.

Choose whether a link to view the email message as a Web page appears in the email message header.

You can create a custom message for the Web page link on the outbound message's Header/Footer tab.

If you choose to include the link in the body of the email message using Embeddable Tags, choosing Yes in this field puts a duplicate link in the message header.

HTML Email

Field Description
Enabled

Indicate whether the format is HTML email.

HTML email messages can contain images and sophisticated formatting. If you do not know whether your recipients can receive HTML email messages, also create a plain text email message.

Track Email Open

If the outbound message targets audience members, you can edit this field.

Choose whether to create an Email Tracking contact history record to track when an audience member opens the HTML email message.

If the recipient exists in an external database, a record is created there.

Subject

Type the text for the email message's subject line. You can insert field tags to personalize the text.

Use HTML Designer

Choose whether to use the HTML designer to create the layout of the HTML email message. If you select No, the Message Details section appears and the HTML Designer tab is not available.

Message Details

The Message Details section appears if the Use HTML Designer field is set to No.

Field Description
Message Details

Specify the email message's content one of these ways:

  • Type or paste the HTML. Use the <img src> HTML tag to insert an image, which must be stored on a network server accessible by the Aprimo services server. You can use any commonly supported image format, such as .gif, .jpeg, or .png.
    Tip:
    Click the Add Track Link Tags button after you enter the HTML. This enables link tracking automatically for all links that are not already slated to be tracked. You cannot undo this action once you add the track link tags. You must manually remove each track link tag you do not want to use.

    Consider creating an HTML Images directory in the temporary file directory as defined in the Temporary File Directory system parameter.

  • Click the Format button, which is available only if the Target Group is not Universe Context. Then create the content on the Message Format page.

Click the Insert button to insert field tags that personalize the message.

If the message targets a universe context and has associated inbound forms or microsites, you can also insert links to those inbound forms or microsites. The inbound forms and microsites appear in the Selected Inbound Forms and Selected Microsite Pages sections in the Insert list.

If the target universe is based on audience members, the application can track the inbound form and microsite links. The application records the clicked links in contact history records. Inbound forms and microsites that can be tracked this way appear in the Selected Inbound Forms with Link Tracking and the Selected Microsite Pages with Link Tracking sections.

Note:
If the target universe is external, the application records clicked inbound form and microsite links in the external database.

HTML Designer

The HTML Designer tab provides advanced controls to design the layout of an HTML email message. To enable the HTML Designer tab, set the Use HTML Designer field on the HTML Email tab to Yes. To enable the outbound message to send an HTML email message, select Yes in the Enabled field on the HTML Email tab.

The HTML designer contains controls similar to those in a word processor. With the HTML designer, you can:

Plain Text Email

Tip:
Click the Convert to Text button to copy the contents of an HTML email message to the plain text version of the message.

Enabled

Choose whether the message is a plain text email message.

Subject

Type the text for the message's subject line. You can insert field tags to personalize it.

Section [number]

Type the section content. You can insert field tags to personalize it.

If the message targets a universe context and has associated inbound forms or microsites, you can insert links to them. The inbound forms and microsites appear in the Insert list.

Show This Section

Select the check box if you want the section to appear in the message.

Contact Compliance

CAN-SPAM is an act of the United States Congress that became law in December of 2003. In 2008 the Federal Trade Commission (FTC) approved revisions to the act. Opt-Out Link Message

Type the text for the opt-out link. The text you type replaces the default text.

The configuration of the outbound message, communicate step, or the send email tool determines whether the opt-out link appears in the outbound message.

Opt-Out Form

Select the opt-out form that appears when a user clicks the opt-out link.

If the message targets audience members or leads, the available forms all have the audience member target group. If the message targets a universe context, the available forms all target the same universe context.

Physical Mailing Address

Type the physical mailing address, which appears below the opt-out link. If this field is empty, the application uses the address of the AIM Service Physical Mailing Address system parameter. By default, the format is the same as the opt-out link and the forward-to-a-friend link. Any formatting of the address in this field or in the value of the system parameter overrides the default formatting.

The configuration of the communicate step or the send email tool determines whether the opt-out link appears in the outbound message.

Forward to a Friend

Use this section to configure a link to a forward-to-a-friend Web page. Email recipients click the link and complete the form to send the outbound message to others. The outbound message or the communicate step's configuration determines whether the link appears in the message.

Field Description
Forwarding Link Message

Specify the text in the forward-to-a-friend link. The text you provide replaces default text.

Number of Friends

Specify the maximum number of friends to which a recipient can forward a message at one time.

Custom HTML

Type the full file name, including the extension, of the HTML file to use as a template for the forward to a friend Web page. Leave this field blank if you do not want to use a custom HTML template.

The HTML file must be stored in the directory specified in the Custom Forms Directory system parameter. Place these tags in the custom HTML file where you want the form fields:

  • <WC@InboundForm>
  • </WC@InboundForm>

Also place the <@APHEADERINFO> tag in the header of the custom HTML file to substitute for the JavaScript header information.

Confirmation Message

Type the confirmation message that appears when the email recipient forwards the message. Click the Insert button to personalize the message with field tags.

Forward to a Friend Inbound Opportunity

Use this section to specify the email message sent when the email recipient uses the forward to a friend form.

Plain Text Email Message

Specify the plain text email message that a recipient sends to a friend.

If you want the people who receive the forwarded email message to access an inbound form, include a link to that form in this field. A link to an inbound form in the original message is not valid in the forwarded message.

HTML Email Message

Specify the HTML email message that a recipient sends to a friend.

If you want the people who receive the forwarded email message to access an inbound form, include a link to that form in this field. A link to an inbound form in the original message is not valid in the forwarded message.

Click the Format button to type the message on the Message Format page.

View as a Web Page

Use this section to define the text for a link that a recipient can click to view the message in a separate browser window. This is useful for recipients who use a Web-based email service such as Hotmail or Gmail, because these services sometimes disable or remove the formatting of email messages. Including a View as a Web Page link enables people to view your message as designed. Aprimo records all clicks on a View as a Web Page link.

Note:
When a recipient forwards a message that contains a view as a Web page link, the link is not included in the message.

Type the link's text. What you type replaces the default text.

You must configure the outbound message, the communicate step, or the send email tool that sends the outbound message to enable this link.

Call Center Script

The Call Center Script tab does not appear if the outbound message's Target Group is Universe Context.

An interaction can generate a personalized script for call center representatives.

Type the text for the call center script, and click the Insert button to insert field tags.

Forward-to-a-Friend Web Page Template

To customize the look of the forward-to-a-friend Web page, create a custom HTML template, and type the template's file name in the Custom HTML field on the Header/Footer tab. If you choose to include the link in the body of the email, the formatting and text defined on the Header/Footer tab is used. These are the standard elements of the page:

You can use a custom HTML template to change the:

  • Font and text color of the title
  • Logo
  • Background color

If you do not specify a logo graphic, no logo appears on the page. If you do not specify a background color, a default background color appears.

Including Entry Fields

A table of form fields forwards the message to the friends. These form fields are predefined in the application. You cannot change them, but in the Number of Friends field you can specify the number of friends. In the template, allow for space for the table of form fields by inserting these tags:

Including the JavaScript Header

In the header of the HTML file, include a tag that substitutes the necessary JavaScript header information:

Location of the Template Files

Save the template files on the Aprimo Web server, in the folder specified in the Custom Forms URL system parameter.

Caution:
Verify that the template's file name is different from the names of the other files in the folder.

Your organization might have the application on a secure server. You might be unable to save your template to the appropriate directory. For more information, contact your system administrator.

Referencing Image Files

You can insert an image. Specify the absolute path to the image file.

Example:
This is a correct absolute path to an image file:

<img src="http://www.yourorganization.com/images/logo.gif">

This is an incorrect, relative path to an image file:

<img src="../images/logo.gif">

Image files do not need to be in the same folder as the template, but each image file must be in a publicly accessible location on the same network as Aprimo.

Reusing a Forward-to-a-Friend Web Page Template

You can create multiple templates, but using a single one simplifies maintenance. Changes you make to an HTML template take effect immediately.
