RFPs (Requests for Proposals)

You use RFPs (Requests for Proposals) to solicit standardized proposals and quotes from suppliers.

RFPs in an activity enable you to complete these tasks:

Communicating with Suppliers

You define communications with the suppliers, such as invitations, deadline reminder messages, and selected messages, in the Messages module. You can save an RFP as a template.

Example:

You are planning an event to introduce a new product line. You want to have the event catered. You create an RFP asking for this information from the 5 suppliers:

  • Menu options and food pricing
  • Services and labor pricing
  • Linen availability and expenses

You send an invitation to the 5 caterers asking them to complete the RFP by a deadline.

Details

Field Description
RFP Template

This field appears if you create an RFP from a template.

Choose the RFP template.

Type

The type helps classify supplier responses and determines which extended attributes the RFP contains.

A system administrator creates RFP types in the System Types module.

Response Deadline

Select the response deadline. This setting will not prevent a supplier from responding after the deadline.

Estimated Product Quantity

Enter the estimated quantity needed for the RFP.

Status

The status appears after you save the RFP.

Test Email

Enter the email address to test an RFP before you send it.

Sender Email

This is the email address that appears in the From field of RFP email messages.

This field defaults to the email address in the AIM Service Sender Email Address system parameter.

Owner

The owner is the user who manages the RFP. This field defaults to the RFP creator.

Notify Owner of Responses

Select Yes to send an email message to the RFP owner when a supplier responds to the RFP. The message includes a link to the response.

Associated Project

Select a project to associate with the RFP. You can select any project that is currently associated with the activity.

Tip:
When you associate an RFP with a project, you can configure the RFP's specifications to include fields mapped from the project.

RFP Statuses

Status Description
Draft

The RFP is being created.

In Process

The RFP has started.

Stopped

The RFP has been stopped.

Additional Fields, Sections, and Tabs

Your system administrator can create additional fields for some objects and make them available for certain system types. Additional fields appear on the Details tab in the Additional Details section or in other sections or on other tabs that the system administrator creates.

Specifications

Complete the fields on this tab to add specifications, such as dimensions, colors, or media formats, that suppliers must meet.

Tip:
You can change the order of specifications by pointing to the Set Sequence button and clicking Specifications.
Field Description
Label

The specifications appear at the top of the RFP Response Form.

Specifications can be pre-populated if you use a template to create the RFP.

Use As Header

Set to Yes to have the RFP display the label as a header for a group of fields below it.

Mapped

Specifies whether this specification is mapped to an activity or project attribute. Mapping places the field value in the field of this specification.

Literal

This field appears if the Mapped field is set to No.

The literal field shows a value for the corresponding label in this field. For example, you can use this field to communicate a fact about the RFP.

This field appears only on the New RFP Specification page and the Edit RFP Specification page.

Field

This field appears if the Mapped field is set to Yes. It shows the activity or project attribute to which this specification is mapped.

This field appears only on the New RFP Specification page and the Edit RFP Specification page.

Question Form

The question form is the private landing page where a supplier views the RFP's specifications and distribution list, answers questions, and attaches files.

Tips:
  • You can change the order of questions on the form by pointing to the Set Sequence button and clicking Questions.
  • After you complete the fields on this tab and the Questions tab, click the Preview button to preview the question form.
Field Description
Message

Through a message you can communicate with your suppliers. The message appears above the questions.

Include Quote Field

Choose Yes to include a field that requests a quote in the RFP.

Currency Code

This field appears if the Include Quote Field field set to Yes.

The RFP uses this currency. Different RFPs can use different active currencies.

Custom HTML

This field indicates the name of the external HTML file that contains formatting specifications for the question form.

For example you name the file MyTemplate.htm. The Custom Forms Directory system parameter determines where external .HTM files are stored.

You need to place these HTML tags in the HTML file where you want the RFP questions to be placed:

  • <WC@RFPForm>
  • </WC@RFPForm>

RFP questions are placed between these HTML tags.

You need to place the <@APHEADERINFO> tag in the header of the HTML file to substitute javascript header information.

Include Specifications

Choose whether to include specifications in the request.

Include Distribution List

Choose whether to include the distribution list in the request.

Allow Attachments

Choose whether to allow suppliers to include attachments in a response.

A supplier can add up to five attachments to a response. However, the cumulative size of the attachments cannot exceed the maximum attachment size. For more information, see your system administrator.

Questions

Complete the fields on this tab to add questions to the RFP's question form.

Field Description
Question

This field indicates the complete question for the supplier.

Short Name

This field allows you to quickly identify the question based on an abbreviated name.

The short names appear in the Questions tab of the View RFP - Details page.

Note:
The supplier does not see this field value.
Field Type

This field identifies the format of the question. For more information, see Field Type Options.

Required

This field indicates whether the supplier needs to answer the question when replying to the RFP.

Status

This field indicates whether the question is available to include in a request. If you do not want a question to be available to include but do not want to delete it, set this field to Inactive.

Selection Options

This section on the Questions tab shows fields that are determined by the Field Type field and the Data Type field.

Field Description
Default Value

This is the value automatically associated with the question.

Data Type

This field appears if the Field Type field is set to Text Box or Text Area.

The format of the answer to the question is determined by Data Type Options.

Sign

This field appears if the Data Type field is set to Numeric.

The sign indicates whether the numeric value in the field should be positive, negative, or either.

Selection Options

This field appears if the Field Type field is set to Radio Button, Picklist-Encoded, or Multiple Selection.

It indicates the choices available for the supplier to select.

When you choose to add multiple, you must separate each item by a semi-colon, and leave no spaces. For example:

option 1;option 2;option 3

Max Length

This field appears if the Field Type field is set to Text Box or Text Area.

This field determines the maximum number of characters that can be entered in the text box or the text area.

Size

This field appears if the Field Type field is set to Text Box.

The size indicates the width, in characters, of a text box.

Columns

This field appears if the Field Type field is set to Text Area.

The Columns field specifies the width of a text area. Each column has the approximate width of one character of text.

Rows

This field appears if the Field Type field is set to Text Area or Multiple Selection that also has a display style of Multi-Select List.

This field indicates the number of rows displayed. Each row has the approximate height of one capitalized character of text.

Width

This field appears if the Field Type field is set to Multiple Selection that also has a display style of Multi-Select List.

This field indicates the width of the display area in characters.

Digits Left of Decimal

This field appears if the Data Type field is set to Numeric.

This field indicates the number of numerals that can appear to the left of the decimal point. You can specify up to 99 digits.

The application reserves database space for the numeric values, regardless of whether you actually supply the values.

To maximize your database resources, specify the exact number of digits that you need.

Digits Right of Decimal

This field appears if the Data Type field is set to Numeric.

This field indicates the number of numerals that can appear to the right of the decimal point. You can specify up to 99 digits.

The application reserves database space for the numeric values, regardless of whether you actually supply the values.

To maximize your database resources, specify the exact number of digits that you need.

Default Selection

This field appears if the Field Type field is set to Picklist-Encoded, Radio Button, or Multiple Selection.

This field indicates the default value that appears in the selection box.

Display Style

This field appears if the Field Type field is set to Multiple Selection.

This field indicates whether the selection options appear as a list of check boxes or a multi-select list.

Field Type Options

Option Description
Text Box

This is a single-line text field.

Text Area

This is a multiple-line text box that can contain more text than a text box.

Check Box

Suppliers set this value by selecting or clearing the check box.

Radio Button

Users can select one item from the options. Use the Selection Options section to configure the list of items.

For this type of field, all selection options are listed on the page. Suppliers select the appropriate option by clicking the corresponding radio button.

You can specify the default item in the Selection Options section.

Multiple Selection

Users can select more than one item from the options. Use the Selection Options section to configure the list of items.

For this type of field, you can choose to display the options as either a list of check boxes or a multiple selection list.

Because suppliers can select more than one item, you can set multiple default values.

Picklist-Encoded

This is a list from which a supplier can select one item.

With the Picklist-Encoded field type, you can set the status of each selection option. This allows you to control the selection options that are available to suppliers.

Data Type Options

The Data Type field appears in the Selection Options section when the Field Type is either Text Box or Text Area.

Option Description
Text

The text option is a single-line text box that can contain up to 255 characters.

Numeric

The numeric option is a single-line text box that contains numeric values. This data type can accept whole numbers, or numbers with decimal values. You configure the data type to store positive or negative values.

Date/Time

A combination of the date field and the time field.

Date

This option is a single-line text box containing a date.

Time

This option is a single-line text box containing a time.

Email

This option is a single-line text box containing an email address.

Confirmation Message

The confirmation message appears to suppliers after they submit their response to the RFP. You can click the Preview button to preview the message.

Note:
If you do not create a confirmation message, the supplier sees only a blank form after submitting a response.

Inactive Message

After you stop an RFP, suppliers who try to access its form see the inactive message. You can click the Preview button to preview the message.

If you do not create an inactive message, the supplier sees only a blank form.

Distribution List

Create a distribution list to provide suppliers with shipping information and quantities needed for one or more recipients.

Example:

Your Fall campaign requires 10,000 copies of a brochure that will be distributed to three regional offices. Each office needs a different quantity of brochures, which will affect the supplier's quote:

  • 5,000 copies to the eastern regional office.
  • 2,000 copies to the central regional office.
  • 3,000 copies to the western regional office.

You add the regional offices' addresses and required quantities to the RFP's distribution list. Suppliers will use this information to help calculate their bids.

Field Description

Estimated Quantity

This field displays the estimated quantity entered on the RFP's Details tab.

Total Quantity

This field displays the total quantity needed by all recipients configured on the distribution list.

Quantity Remaining

This field displays the quantity remaining after subtracting the total quantity needed from the estimated quantity.
