System Types Reference: A to B

You use system types to categorize objects such as activities, audience members, and materials. System types can also determine the extended attributes in an object. In most cases, you must define the system types for an object before you can add records for that kind of object.

Activities

Each activity must be assigned an activity type, which determines these items:

  • The extended attributes tracked for the activity.
  • The extended attributes tracked for the activity's audience members.
  • How reports for the activity can be defined.
  • The available load list templates.

Each activity type can have its own activity and audience member statuses.

There are special rules for deleting an activity type.

Activity Type Status Information

For each activity type, you can track the following status information.

Activity Type Status

An activity type can have its own set of activity statuses to track the progress of an activity.

When you create an activity type, the default Open and Closed activity type statuses are enabled automatically. You can add, edit, and delete activity type statuses as needed.

The Cell Locking field determines if users can edit the values in the Estimated Quantity and Actual Quantity fields of a cell.

Note:
Each custom activity type status must be mapped to the Open or Closed activity status. An activity with a status mapped to the Open is considered to be current.

On the View Activity Type page, you can click the Edit Sequence button to specify where a status should appear in the status list.

Audience Member Status

Audience member statuses enable you to track the progress of each audience member in an activity. You can add, edit, and delete audience member statuses as needed.

Note:
Only active audience member statuses can be selected in activities.

Type Purpose Examples

AI Tokens

This type categorizes AI tokens (AI vendors).
When Enable Cost Tracking is enabled, AI tokens assist in cost tracking per activity, allowing users to allocate generative AI expenses per AI token. It will also allow you to configure a default "Cost Per Unit" for each AI token.

Annotations

This type categorizes the annotations users make to documents.

Attachments

This type categorizes the attachments your organization can use, and determines the extended attributes tracked for an attachment.

Note:
Click the Set Sequence button to set the order in which attachments appear in the Documents section and the Review Materials section on tasks and review tasks. The Edit Sequence page enables you to arrange a list of all attachment types in the order in which you want them to appear.

Audience Members

This type identifies the relationship an audience member has with your organization, and determines the extended attributes tracked for an audience member.

Audiences

This field identifies groups of people who share common characteristics.

Note:
Audiences are different from audience members. Audience members are the specific individuals you are targeting through a marketing initiative. Audiences represent target markets to influence with your activities and programs.

Users can select audiences for activities, programs, and proposals.
